The "calculated," "linked", "relationship," and database popup" (DB popup) field types are used throughout the application. There are seven databases. This version is "release 2." ArtWork is the primary database. It draws from each of the child databases. The "db-popup" field type is used in the "To Do" routine to draw information into it. Information captured includes item description, item #, sold to, date sold and to do. In this revision, the "item #" field was changed to "auction #." The child databases are ArtContacts - tracks "contact" information. Captured information includes name, address, city, state, zip phone number(s), shipping information and notes. ArtItems - the items produced by the artist. Captured information includes the item name, item number, description, hours and hours to make, and notes. Description:This is a simple inventorying app that demonstrates how to use scanned barcodes to adjust stock levels. There are 2 files: Item_Master & ItemConsumption, each with a few sample records to demonstrate. The Item_Master constains an item description, item# (UPC_EAN8 barcode), starting inventory quantity, and link/relationship to the other file to obtain a running total of consumption quantities for an item. The final field calculates the inventory balance (starting quantity minus running total of consumed inventory). This file supports scanning of the barcoded item# or it can be just typed into the UPC_EAN8 field. The itemConsumption file contains a field that's used to capture the barcode that will be stored in the "UPC_EAN8" item# field, a default quantity of 1 to represent the quantity to be removed from inventory, and a running total field that shows the sum of all inventory records. The final field is a link/relationship field that gets the item description from the Item_Master file. The type of barcode is not restricted--you can scan any supported the barcode types including QR codes, although the item# field size would need to be increased if you need to capture values longer than 15 characters.

Description:A simple database to track forms submitted for various reasons within an organization. Managers and Supervisors have typically seen how easily important documents get mis-placed, mis-filed, lost or tossed. This database simply records the form type, date of submission, relevent associated parties, and brief description for why the form was submitted. It has been a crucial piece of evidence in many past conflicting stories about whether or not a given form was ever submitted, when it was submitted, who it was submitted to, who by, etc. etc. etc.

Filters:The typical filters I use are date spans which change as I need them to, YEAR, MONTH, WEEK......and then FORM TYPE. Given the fields of the database, it is simple to filter whatever best suits what you're attempting to organize, customize the filters as you see fit, I left the ones I use for the most part intact in this.
Sorting:I typically sort by date, then by relevant form type or Last / First name.
Reports:No reports, but you'd be amazed how often I have exported text for records to prove a point or support an unemployment battle, all of which were triumphant battles for this handy tool.
Comments:I'll never manage without it. I left the Pop Up fields occupied so you could get the drift of how I used it. The first and last name are typically the relevent individual who filled out the form, or the Supervisor / Manager submitting the form, that makes finding the evidence I need much easier. Feel free to adapt the database design for your own uses, you'll come to depend upon it if forms are common in your line of work.

It provides a place to enter names using the "DB Popup" field type that is linked to EvaluationNames. Fields are provided to document the date the record was created. Fields are provided to allow the editing of the displayed name and all names. The branch to the evaluation data uses the "relationship" field type to go to the EvalData database where the actual evaluation data is recorded. Data is displayed using the "relationship" field type from the EvalData database; the data is the number of related entries and the latest related entry date. EvaluationAreas is comprised of data the individual is evaluated on. Examples all ready in the database are appearance, atttendance, customer interaction, knowledge, knowledge of equipment and work quality. More entries may be added as needed. EvaluationNames is used to capture basic employee information. Data captured includes name, position title, date hired, date in position, special duties, special recognition, work phone number, cell phone number, fax phone number, email address(es), home phone number and notes. EvalData is where the evaluation information data is stored. Fields include name, area of evaluation, record expiration date, notes, date noted, date/time created and record number. This applet was created with Contractors in mind. It is of great use for 1099 and S-Corps out there. EzBiz offers an easy way of keeping track of billable hours, days off, and taxes (EzTax is an optional module).

This version includes:

  • EzTime - Time tracking
  • EzTax - Track your taxes
  • EzCustomers - Track Companies you're working for
  • EzContacts - Track your contact points on each company
  • EzProjects - Track the projects you're developing for each customer.
  • TaxPeriod - Pivot DB that controls how you pay your taxes.

1. - EzTime:
=============

a. Quick Guide:
----------------

Week based record for easy entry of worked hours - Regular, Overtime or Holidays. Set up your rates for Regular, overtime and holidays and you'll automatically know how much money you're making. (Tip: If you don't get paid for holidays, simply set the rate as $0.00)

When you create a new record, you'll be presented with a form where you can specify the Week date, the Tax period that earnings belongs to, the client that that you will bill for this period and the project you're working on. You can also enter some text on the Event field for historic purposes. The "Tax Period" is shipped with a standard quarterly period. If your tax schedule is different than that, simply create the schedule that fits your needs.

Once this info is entered, all you have to do is every day (or when you feel like) enter the hours you worked for that client/project.

If you want to keep track of hours per project/client, you can create a second record for the same week.

As the weeks progresses by, you can see how much $$$ you're making.

Tip: If you want to forecast, create further weeks at once and the totals amounts will be calculated for you (Every time you create a new week, regular hours from Monday thru Friday will default to 8 hours - you can change this on the Field properties.) There's also a "Billed" flag on the WeekView that allows you to keep track of which hours have been billed to the client. You can also use this view to update other softwares that the client requires you to enter time against.

b. Views:
----------

  • "Default View" - I always live this view as is, for future debugging and a way of having all fields listed
  • The "Totals" views gives you an Idea of how much Regular, overtime and holiday hours you're working. And the Amount made for that Week.
  • "Weekly View" allow you to see total hours worked on a daily basis. It also has a Billed? flag to indicate whether those hours have been billed or not.
  • "Holidays" shows only weeks where you took some time off. This view is great for keeping track of your vacations.
  • "Tax Period" shows you how much money you made for that tax period.
    Tip: For further information about taxes, you can use the optional EzTax module.
  • "Billing" shows you how much your clients owe you. You can use this view to calculate the total by clients. Also, if you have forecast weeks, remember to limit the dates as well.
  • "History" - List old records ready to be moved to a History DB (See Useful Tips).

c. Useful Sorts:

In most scenarios, it's extremely important that you keep the DB sorted by the Tax Period, so the TotalPerPeriod can be appropriately calculated. (This is very important when using the EzTax module).

By Tax Period, by date (Current Year), by client or BillTo, by project.

e. Useful Tips:
------------------

Once you close a year, create a copy of this applet as "HistoryEzTime" and move old records there. Because of the great amount of calculations, it is a good idea to keep the "active" database very light-weight. And the "History" DB can go to a secondary storage media, since it doesn't need sync any more.

2. EzTax
==========

a. Quick Guide:
----------------

This DB helps you figure out how much taxes you have to pay. It will keep listening to the EzTime DB for posted hours and show you how much money you've made so far. Then you can enter the percentage of taxes you want to pay and he will tell you how much you owe to the Feds...

The EzTax is composed of three forms:

Enter the Tax Period this record is related to - this is the value that will create the relationship with EzTime to retrieve the total amount earned on that period. Enter the % you want to pay in taxes (Federal and State) and the balance will be updated. When time comes to pay taxes - simply go to the second tab - Payments.

First, enter the date the payment was made.

If you have any income that was Tax-Free, you can enter this value as an amount for the period, or as a percentage of your Gross Income. This will be deducted from your

Gross Income before calculating taxes.
For the Federal and State, enter how much you paid for each one. You can also enter the check Number to keep track.

Tip: If you want, you can use CheckBk+ (or any other applet you use for keeping track of your checks/expenses) to link payments for your federal and state taxes

Your Taxes due and payments may not match. And at the end of the year you might have to pay more, or if you're lucky, receive money back! You can use this form to enter this information and zero out your balance. If you prefer to start each Tax Period new, you can also use this fields to zero the left over balances. (Otherwise, previous balances will be carried over to the next tax period!)

The number of related records is displayed next to the "related" field type. Links are provided to the child databases for editing of those databases. As a note, deleting files must be done from the parent record in order to maintain proper indexing. In addition, there are times incorrect record counts are displayed; when that occurs, the child database needs to be reindexed. This requires displaying each entry in the affected child database and then redisplaying of the parent record. The display category used is "business." The main database is Mechanics. It displays links to the child databases. This database does not store any data, hence, when it is started, a blank line is displayed. Click on the blank line to view the available links. The following databases are available: Certifications, Contact list, Customers, Customer Vehicles, Inventory, Jobs to Do, Notes, To Do, Suppliers, and Supplies. MechCertificate - Certifications - a database to keep track of certifications. Lots of relationships are used here to capture and display the entries for the various related databases. MechToDo - a to do list - not to be confused with work to be done. Information captured includes action, date to do, time to do, done (check box), time done, date done, notes (this is a relational field with MechNotes), the ability to edit the notes database, cost information, amount owed, running cost, running amount owed. MechSuppliers - Suppliers - a database to capture supplier information. The notes here do not branch to a different database. MechSupplies - Supplies - MechSupply - a simple supply database. During the installation of the plugins, you may receive a configuration error or reset error. The confirmation error: create the field the plugin is referring to before defining/setting up the plugin. For instance, the TextFormat - create the referred to field and define it as "text." Make sure there is enough space to display the result. After defining the eferred to field, then create the textformat field and configure it. Syntax (spelling/caps) are important! If you suffer crashes/reset errors, a handy utility is available the automagically handles the reset prodedure WITHOUT human intervention from http://www.79bmedia.com/ - file name is "crash." There are two versions - freeware and pay. An excellent utility that uses 14K of memory. This release fine tunes the forms used throughout the entire applet and its companion files. Additionally, in the DominosTips database, the "amount collected" field was out of "order" and did not update properly. Two two plugins refered to above are also included. Dominos is the main database. It is used to capture beginning/end time, beginning/ending milage and summary information from many of the child databases via HanDBase's relational feature. Linked to the Dominos database but providing no or limited information to it are BensBalancer, Gas_Trip_Log, DominosHotels, StreetList (limited information is provided - map page/grid information), Car_Information and Stuff. Linked to Dominos as child databases providing it direct support are DomCellCalls, DominosContacts, DominosMeetings, DominosTips, DomMath, DomNeedFood, DomNotes, DomPay, DomShiftRunner, DomSupplies, DomToDo, and DomToDoList. The DominosHotels child database is intended to capture information concerning hotels and businesses in the delivery area. StreetList is intended to capture street information in the delivery area. DominosContacts is intended to provide contact information and is structured along the lines of the Palm address book. This applet/database is exactly the same as the Palm address book with the exception of two added fields. Name and Formatter. The "name" field is created using Robert Machorro's "TextFormat" plug-in. The field is displayed in the "default view" and is built on the first and last name fields. You may add your Palm address list to this database by 1) editing the "name" field, note its current value and then set it to "not used" (field 26); 2) by editing the "formatter" field, note its current value and then set it to "not used" (field 27); 3) export the Palm address list to a ".csv" file; 4) import the newly created Palm address list .csv file into the DominosContacts applet; 5) edit the name field and set it to "text" using its original values; and 6) edit the "formatter" field and setting it to its original value. The import should be done via the desktop and select the "input (.CSV) File has Field Names as first Line of File" and in the Import Using part, click on Physical order of fields." The "TextFormat" plug-in is not used in the form(s). A bit of playing will bring success. I recently replaced my PDA and imported the new address list from this database. The "name" field will initially be blank on the desktop. When it is synch'd to the PDA and the records individually viewed, the "name" field will be properly displayed. Stuff is intended to capture plain 'ole stuff type of information that may or may not come in handy some day or some where and is capable of operating free-standing. BensBalancer is a checkbook/savings et cetera tracker. It is capable of handling multiple accounts and users. Files specific to its function include CagetoryValues, ToTypeValues, and TransTypeValues. It is a "flat database" that uses popups, db-popups and previous values. This release sees the addition of a "work around" to the forms limitation of editing displayed popup and db-popup information. In many of the database forms, the popup and db-popup field types are used to populate varios fields. There are occasions when the addition of information to the displayed field comes in handy. So, the use of a "text entry" field in the form that points directly to the same variable value as the associated popup/db-popup field type is used. When the popup/db-popup field value is displayed, the selected value populates the associated "text entry" field and if the "popup appends" option in the popup/db-popup definition is marked, manually entered information can be added to the imported information. Really handy in some wild situations. In the forms setup, I have found it more efficient to create a label for the popup to be worked with, then with the popup being worked with, select the appropriate "data source," in the "caption source" option, select "other" and in the "specify caption" option, leave it blank. In the layout option, enter the appropriate coordinates and for the "width" value, enter a width of 10. The proper coordinates should place the triangle below or to the side (but out of the way) of the displayed fields. The width of 10 should adequately display only the popup/db-popup triangle display. Next, create a "text entry" field and position it in the area of the corresponding label. The text entry field must use the same variable as the popup. To use, tap the triangle and note the corresponding information display; tap the desired entry and if everything is properly configured, the selected value will be entered in the text field. Information may then be added as needed. If the "popup appends" option is selected in the definition of the popup/db-popup, additional entries may be added to the field. Car_Information, CarFollowup, CarSupplies, VehicleMaintenance, and Gas_Trip_Log are all related to are all related to vehicle maintenance. Gas Log and VehicleMaintenance are capable of operating independently of each other and the Dominos applet. Data in the applet is intended only for testing. "Related" information in the Dominos applet is initially displayed by indicating the number of "related records" in the corresponding child database. For instance, in Dominos, the main database, the number of runs or deliveries for that day is displayed on the main form next to "Tips." Tapping the field displaying the number of related deliveries transfers control to the "DominosTips" child database and displays via the "list" function the related records. This operation is utilized throughout the applet to indicate related information in "related" child databases. Additionally, the "linked" field type is used to provide editing capability to many of the child databases. In most instances, access to the child databases for the addition of or removal of records should be limited to the "main" or parent databases in order to maintain proper indexing and displaying of the number of related records in instances where that function is used. DomCellCalls is provides a list of reasons telephone calls are made. The number of calls, reason(s) and length of time are eventually reported on in the Dominos and DominosTips databases. I use a nifty utility from Natara Software, Comet V1.0.2 (http://www.natara.com) to facilitate the entry of information at the end of the work day. The utility captures after being sync'd and provides time, number and call duration information. Dominos is the main/parent database. The Dominos database takes the longest to load due to the information it draws in from its associated child databases. DominosContacts is used to capture "contact" information. DominosMeetings is used to capture employee meeting information. DominosTips is the database that captures the majority of the information related to deliveries and related activities. There are more than seventy active fields. The form provided with this database is broken into twelve sections. The sections are: amounts/times, form links, tips, 1stclear/2nd/street,running amounts, math/note/shiftrunner, food/supply/todo, edits 1, edits 2, end of day, phone calls, phone notes. For convenience, some functions and links are repeated in some of the sections. In order to minimize speed slowdowns associated with accessing the database via the parent database (Dominos), direct opening of the DominosTips database and utilizing the tools/filter sequence increases performance a bit. It is important to select "date" as the selected field and setting the "lower limit" as the current date. The date must be altered for each date data is captured for. When access of the DominosTips database is done through the parent database (Dominos), the tools/filter sequence should be inactive, this allows HandBase to utilize the "relational" function to obtain information from the DominosTips database. Performance is affected due to the amount of information contained in and accessed from the DominosTips database. I have noted the "related records" count is ocasionally not accurate. This is due to directly accessing the DominosTips database during data capture, instead of doing it directly from the parent database. Taping the related records count box, viewing/displaying each related record and then returning to the parent record will correct the number displayed. It may be necessary to do this for each main record. The DominosTips database no longer uses the DomNotes database to capture note information. Its notes are captured using the field type "notes." DomMath to provide simple addition/subtraction math support. DomNeedFood is used to track the obtaining of food/supplies when they run low. DomNotes is used by the Dominos database to capture notes for the daily function. Note capturing capability for the other databases is done using the "note" field type. DomPay is used to capture payment method, i.e., cash, check, credit card, et cetera. DomShiftRunner is used to capture who is running the show information. DomSupplies is used to capture the supply list. This database provides information to the "DomNeedFood" child database. DomToDo is used to capture "to do" information. DomToDoList is used to capture a list of "to do" functions and provides support to the DomToDo child database. ToTypeValues and TransTypeValues support BensBalancer. Description:Customer Database for a Lawn Service.
This database is for Windows Mobile Only.
This database is not for the iPhone.
br If you install the Add-In TextFormat, the Cut Info and Notes
list will display only the records related to the current address.
For each new cut it will track the Date of the cut, payment, The Start and End Times and Calculates the duration of the cut, among other useful information.
To create a new customer.
New Customer:
1. Open 'The Lawn Guy' database.
2. Select 'New Record'
3. Fill in the customers information. This will be the page that contains the customers information and scheduling. This information is only filled in once, usually when the customer first calls. You will notice a 'Cut Info' and 'Notes' button at the bottom, this is where you keep this customers history of cuts.
Type in the customers 'First', 'Last', 'Addy', 'Street', 'Home', 'Cellular' fields.
There are several PopUp fields on this form. which open another database where you can select, add and delete records.
The following can be done on any PopUp field, although most of them are pre-populated with common entries you may find useful.
i.e. - If you tap on the 'City' popup, the 'City' database pops up.
If the City you want is already there, just tap on it and you will be taken back to the 'Customer Info' form with the 'City' field populated with your selection.
If the City you want is not there already, you can select 'New Record'. This will allow you to Add another City, we will use Los Angeles in this example: Enter LA in the 'CT' field, this is what will show on the main databasse screen and help to sort and keep customers grouped together so you don't leave the area and have to come back for a cut you forgot in that area. Then you enter Los Angeles in the 'City' field, Click 'OK' to save.
Now tap on one of the records and you will be taken back to the 'Customer Info' form with the 'City' field populated with your selection.
Do this again for the 'Area' and 'Zip' fields, populating each with items related to your location.
Area:
This field is for your convenience. Since cities can be large, the area filed helps to group customers who are in the same section on the city. By that I mean, lets use the city named Tyler and you have seven customers in Tyler. Four of your customers are on one side of the city and three are on the other side of the city. When you open 'The Lawn Guy', you will see all the customers in Tyler for that day, but they will all be lumped together. Here is where you use the 'Area' option to put them in smaller groups. You make these 'Area' groups yourself as they are merely something that you use to remember the customers location in the city such as: Fire Station - Use something like this if they are located near the Fire Station High School - If they are near a High School Heritage Heights - Use the name of the housing tract if you have several in the same tract. WalMart - If they are near a WalMart The Lake - If they are by a lake. again, you make these up depending on what will remind you as to there location in the city and to group them together on the main page of 'The Lawn Guy'. This will keep you from leaving the area only to find out there was another customer in that area and you have to drive all the way back across town again. Where: This is where you will show where the customer will have the payment. If you have customers leave the payment, it will save you a lot of time throughout the day not having to knock doors and wait on customers to pay for your services. I.E.: Front Mat - The payment will be under the front door mat Back Mat - The payment will be under the back door mat Invoice - The customer would like to pay by invoice. again, you make these up depending on what will remind you as to how to expect the payment. Frequency: If someone wants there yard cut every other week, you would select Bi-Weely-1 or Bi-Weekly=2. In order to accommodate for Bi=Weekly cut you need to operate on a Week-1 and Week-2 basis. The first week you start cutting for the season will be week-1 where you would select from the 'View' drop down as you cut throughout the week as follows: Sunday-1 Monday-1 Tuesday-1 Etc. for each day you cut that week, respectively. The second week will be Week-2 where you would select from the 'View' drop down as you cut throughout the week as follows: Sunday-2 Monday-2 Tuesday-2 Etc. for each day you cut that week, respectively. This will force all Weekly cuts to show up on both the Bi-Weekly-1 views as well as the Bi-Weekly-2 views. Any cuts you have as Bi-Weekly-1 will only appear when you select the views ending with a 1 and any cuts you have as Bi-Weekly-2 will only appear when you select the views ending with a 2. If you have to skip a week due to weather, illness or something, all you have to do is open that customers Info form and change the 'Frequency' to the other Bi-Weekly option, now they will automatically show up on the opposite week. Fill in as many fields as you can, you can always come back later and add or modify the information. 4. Tap 'OK' in the upper left-hand corner. There is no menu option to leave a form.

Description:Applet consists of Yellow Pages, Business Contacts and Departments databases linked to one another. Yellow Pages extends the usual phone application that comes with your cellphone by allowing you to record the contact phone numbers of departments within individual business locations of a major business. For example, you can easily store the Vision Center phone number for several Wal-Mart stores in your area, like you would find in your Yellow Pages. You can't do that with your cellphone's phone application. To use the applet, you first open the Yellow Pages database and enter the Business Name, Category (from popup list, enter new or edit the popup for retrieval later on), Website Homepage and Phone. Separate views for Business Listing and Category Lising are available. Clicking on Phones opens the Business Contacts database where you enter the business location(s) and phone number for each location. Selecting Department opens the Departments database where you enter the Department and phone number for that department. Some example data is provided to show how useful this applet will be. With the Yellow Pages applet, you won't need to carry the Yellow Pages phone book with you ever again.
